Most mowing businesses run on a stack nobody chose: a phone, a calendar, a notes app, a spreadsheet of who pays what, an invoicing app, and a group chat with the crew. Each piece works. The gaps between them are where the money goes.
AppFlow is built to be the one system behind a service business. Here is what that looks like for a lawn mowing round, from the first enquiry to the crew finishing the last job of the day.
The whole loop in one account
| Stage | What AppFlow does |
|---|---|
| Getting found | A website for your business, included in the price |
| Booking | Online bookings from your website or booking link, or embedded on WordPress, Shopify, Squarespace or Wix |
| Paying | Deposits or full prepayment at booking, into your own Stripe or Square account |
| Customers | One record per customer: address, site notes, booking history and spend |
| Doing the work | A staff app with jobs, addresses, notes, checklists, photos and job status |
| Reminding | Confirmation, reminder, reschedule and cancellation messages by email and SMS |
| Paying staff | Clock-in hours export to Xero for payroll |
| More work | Network access and lawn mowing leads you can purchase for your suburbs |
Start with bookings
The most expensive gap in a mowing business is the call you cannot take because you are on the mower. AppFlow gives customers a booking page that works at 9pm on a Sunday, and every booking it takes becomes a job on your schedule, a customer record, and a confirmation message without you touching it.
Take the money when they book
Set a deposit per service, as a fixed amount or a percentage, or take full payment upfront. Customers pay at checkout, the money goes to your own Stripe or Square account, and the balance is collected against the same booking.
Give the crew the day on their phone
Once there is more than one ute, the staff app is what stops you ringing around. Each worker signs in with their own login, sees their jobs with the address and site notes, works the checklist, takes before and after photos, and marks the job complete. You watch the day move from the dashboard.
Keep the customer list as an asset
Your client list is what the business is worth. In AppFlow it builds itself from bookings, holds the notes the crew needs, and shows booking history and spend, so it does not live in your phone and your head.
What AppFlow does not try to do
If you need deep job costing or stock control, look at the heavier field service platforms. Most mowing rounds never open those modules.
- No inventory or project management: a mow is not a construction project
- Xero is an hours export for payroll, not a full accounting sync
- Messages to customers are outbound: confirmations, reminders and campaigns, not a shared inbox

Frequently asked questions
What do I get with AppFlow for $39 a month?+
A website, an online booking system and a CRM for customer management, with quotes, invoices and payments in the same account. You also get network access and lawn mowing leads you can purchase.
Do I need a website already?+
No. A website is included. If you already have one on WordPress, Shopify, Squarespace or Wix, you can embed the AppFlow booking form on it instead.
Can customers still ring me?+
Of course. The booking page is for the customers who would rather book than wait for a callback. Jobs you take over the phone go into the same schedule.
Does AppFlow work with Xero?+
AppFlow exports staff clock-in hours to Xero for payroll. It is not a full accounting sync, so keep your accountant's process for the books.
