A Staff App for Your Lawn Mowing Crew

Stop ringing the crew all day. Put the run sheet, the addresses and the site notes on their phone instead.

The moment a mowing business adds a second ute, the owner turns into a switchboard. Which job is next, what is the gate code, did they finish the verge on the corner block, are they running late for the 2pm. Every one of those questions is a phone call, and every phone call happens while someone is holding a trimmer.

A staff app moves those answers to where the crew already is: their phone. AppFlow's staff app gives each worker the day's jobs, the customer's address and notes, and a way to mark each job started and complete, so you see progress without asking for it.

What the crew should see on their phone

If any of that lives only in your head or in a text thread, the crew will ring you for it, usually at the worst possible moment.

  • Today's jobs, as a list or on a week calendar
  • The customer's name, address and booking history
  • Site notes: gate codes, dogs, where the tap is, what not to mow
  • A checklist for the job, so the finish is the same whoever does it
  • Job notes and before and after photos, kept on the job
  • Start and Complete buttons, so job status updates without a call

Why ringing around costs more than it looks

Each call is only a couple of minutes. The real cost is that they stack up across a day, both of you stop work to take them, and the crew sits at a locked gate waiting for a code you are too busy to read out.

The bigger cost is mistakes. The wrong side of a duplex gets mown, the customer who asked for no catcher gets clippings bagged, the dog gets out. Those are information problems, and a staff app fixes them by putting the information on the job instead of in someone's memory.

How AppFlow runs the day

1

Every booking lands in one schedule

Online bookings from your website or booking link, and jobs you add yourself, all go into the same schedule the crew works from.

2

Each worker signs in with their own login

You invite staff from the AppFlow dashboard. Staff see their own jobs plus unassigned bookings; as the owner you see the whole run sheet.

3

A morning nudge

Staff get a push notification each morning with how many jobs they have that day.

4

Start, checklist, photos, complete

On site they tap Start, work through the checklist, take before and after photos, add notes, and tap Complete. You see the status change in your dashboard.

5

Add a job on the spot

When a neighbour leans over the fence and asks for a quote, the crew can add the job with the service, time and customer details from the app.

6

Clock in, clock out

Staff clock in and out from the app, and you can export the hours to Xero for payroll.

See the team at a glance

The team roster in the app shows who is on shift, how many jobs each person has today, and their hours this week. That replaces the 10am "where are you up to" round of calls.

AppFlow also lists live tracking among its team features. Ask on your setup call how it works for your crew today.

Setting it up for a small crew

  • Clean up customer records first: every regular needs an address and site notes before staff rely on them
  • Write one checklist per service: standard mow, mow and edge, hedge trim
  • Invite staff and have them sign in at the depot, not on the first job of the day
  • Nothing changes for customers: they still book online and get the same confirmations and reminders
  • Run one day with you on the phone as backup, then stop answering "what's next" calls

What it costs

AppFlow is from $39 a month (AUD, no lock-in). The staff app sits in the same account as your website, online bookings, customer records and payments, so jobs booked online show up on the crew's phone without anyone retyping them. Check the current plan for your team size on appflow.com.au.

Frequently asked questions

Do my mowing staff need their own login?+

Yes. You invite each staff member from the AppFlow dashboard and they sign in with the details you give them. That way each person sees their own jobs, and you can see who did what.

Can staff see the whole schedule?+

Staff see their own jobs plus any unassigned bookings, along with the customer details they need for each job. Owners and admins see the whole run sheet.

Can the crew add a job while they are on site?+

Yes. Staff can add a job from the app by picking the service, the date and time, and a new or existing customer. It goes straight into the same schedule.

How do I pay staff from the hours in the app?+

Staff clock in and out from the app, and AppFlow exports those hours to Xero for payroll. It is an hours export for payroll, not a full accounting sync.
